Bridport Food Festival Terms and Conditions
Organisers
The Bridport Food Festival is organized by the Bridport Local Food Group, a volunteer organisation dedicated to supporting and promoting the local food and drink industry.
Eligibility
The Festival welcomes local food and drink producers, retailers, and restaurants. Priority for stand allocation is given to businesses within a 25-mile radius of Bridport.
Stand Applications and Payment
All applications will be assessed, and you will be notified as soon as possible regarding your stand allocation for the Bridport Food Festival on June 13, 2026. Please note that incomplete forms will not be processed.
If your application is approved, a confirmation invoice will be issued. Payment is due within 14 days of notification. If payment is not received by this date, the stand will be forfeited and offered to another trader.
Stand holders who have not prepaid will not be permitted to attend the event.
Catering Stands
Catering pitches are available on Friday evening (5:00 PM–11:00 PM) and all day Saturday (including Saturday evening from 6 PM–11:00 PM), or Saturday from 9:30 AM–5:00 PM.
Evening slots are limited and allocated on an invite-only basis, with only five selected for Friday and Saturday evenings.
Stand Conditions
- Each stand space is 3m x 3m. If you require a different size, please specify on your booking form.
- Traders must bring their own gazebos or similar structures.
- Stand holders may only sell the products stated on their application form.
- Selling hot food for immediate consumption requires prior agreement during the application process.
- Stand holders selling alcohol must hold a valid Temporary Event Notice (TEN) issued by Dorset Council. Applications must be submitted at least 10 working days prior to the event.
- Alcohol traders are fully responsible for ensuring all licensing requirements are met and available for inspection if requested.
- Only recyclable food containers, packaging, plates, and cutlery are permitted. No single-use plastics are allowed.
Disposables and Sustainability
Bridport is proud to have obtained plastic-free status; therefore, plastic straws, coffee cups, bags, and condiment sachets are strictly prohibited.
Polystyrene and other non-recyclable materials are not acceptable. Traders found using prohibited items risk exclusion from future events.
Reusable drinking glasses are preferred; if not reusable, they should be made from recyclable plastic.
We encourage a reduction in the use of palm oil and other non-sustainable products, as they contribute to deforestation and habitat destruction.
Traders are encouraged to minimise waste in their businesses and consider this when designing their menus.
Electricity and Water
Electricity is available for an additional charge, as indicated on the application form.
Power supply timings are as follows:
- Friday: generators will be switched on at 4:30 PM and switched off at 11:30 PM.
- Saturday: generators will be switched on at 8:00 AM and switched off at 11:30 PM.
Traders must ensure all electrical equipment is safe, suitable for outdoor use, and compliant with current regulations.
The Bridport Food Festival and the Bridport Local Food Group cannot be held liable for any generator failure, interruption of electricity supply, power fluctuations, or any associated loss of trading, stock, earnings, or business interruption arising from the use of generators or temporary power systems.
Fresh drinking water will be provided at various points around the Festival field at no charge.
Insurance and Licensing
Stand holders are responsible for their own property insurance and must hold valid public liability insurance at the time of the event.
Copies of all insurance documents must be submitted to the organisers before the event, and original documents should be available for inspection during the festival. Failure to provide the required documentation may result in traders being refused permission to trade at the event.
Stand holders selling alcohol must hold the appropriate licensing and TEN documentation.
All traders must complete and return the Risk Assessment with their application.
Festival Day
- The allocation and positioning of stands are at the discretion of the Bridport Local Food Group.
- Vehicle access on the Saturday is only between 7-9am for Stallholders.
- Stands must be set up by 8:30 AM on the day and removed after 5:00 PM.
- All vehicles cleared from the trading site by 9:00 AM and parked in designated area.
- Stand holders are required to remain for the full duration of trading hours and may only begin packing up after closing time.
- Leaving before the event closes may result in exclusion from future festivals.
- One free parking space is allocated per booking.
- Vehicles cannot park on or re-enter the Festival site during opening hours.
- No music is permitted from any stand or vehicle at the festival.
- Stands using gas or electricity must have their own fire blanket and appropriate fire extinguisher.
- All exhibitors must comply with fire, health, environmental, and safety regulations at all times.
Waste Management
The festival is committed to minimising waste and managing onsite collection efficiently through “reduce, reuse, recycle.”
Stand holders are responsible for keeping their area clean and managing all waste generated by their business throughout the event.
All traders are required to take all commercial waste home with them at the end of the festival. This includes, but is not limited to:
- Cardboard
- Glass bottles
- Cooking oil containers
- Packaging
- Food waste
Please do not leave trader waste onsite. We have experienced issues in previous years with excessive commercial waste being left behind.
Wheelie bins provided around the festival site are primarily for public waste and light festival use only, not for trader clear-outs or commercial disposal.
Failure to comply may affect eligibility for future events.
Data Use and Promotion
By applying to trade at the festival, traders agree that the Bridport Food Festival and the Bridport Local Food Group may use their business name, trading description, logo, website links, and promotional images for festival marketing and publicity purposes.
Trader information may be shared with local media, press outlets, sponsors, and event partners for promotional coverage relating to the festival.
The festival may also feature traders across its social media channels, website, printed materials, and other marketing platforms before, during, and after the event.
Refunds and Cancellations
Stands are non-transferable.
Stand holders who cancel their booking before June 1, 2026, will receive a refund minus a 25% administration fee, provided the stand can be resold.
No refunds will be given for no-shows, which may affect future applications.
The Bridport Local Food Group reserves the right to update or amend these Terms and Conditions from time to time where necessary for operational, safety, legal, or environmental reasons. Any significant changes will be communicated to traders as soon as reasonably possible. By attending the festival, traders agree to comply with the most current version of these Terms and Conditions.
